2023 year-end tax reminders for all Housing employees to ensure timely distribution of tax documents
January 6th, 2024
Deadline for you to update your address if you do not choose electronic distribution.
- Your W-2 Tax Form will be sent to your mailing address that is in your MyUW portal.
- Instructions for you to update your address – Personal Details – Address (wisconsin.edu).
- If you do not have a mailing address listed in MyUW portal, your W-2 will be mailed to your home address listed in MyUW.
January 10th, 2024
Deadline for you to choose electronic-only distribution for your 2023 W-2 and 1095C.
- Instructions for you to choose Electronic Only Forms (wisconsin.edu)
- Electronic forms are available earlier than mailed paper forms, are more secure and have less risk to become lost or stolen.
- W-2 tax form provides your compensation and tax withholdings for the previous calendar year.
- 1095-C form documents that a full-time employee who worked all or some months in the previous year was offered health insurance.
- Note: The consent options in this email does not apply to the 1042-S form (Foreign Person’s U.S. Source Income Subject to Withholding). 1042-S forms are available electronically in the Glacier Online Tax Compliance System for employees who choose electronic delivery through that system.
University Staff Must Use Specific Leave Balances by December 31, 2023
- University Staff employees, your deadline to use Vacation Carryover, Legal Holiday (including floating holidays), and Personal Holiday hours is December 31, 2023.
- If your hours from these leave banks are not used by December 31, 2023, they will be lost.
- Sunday, December 24, and Sunday, December 31 are 2023 Floating Legal Holidays which, you can use anytime in December of 2023 if you will still be an active employee through 1/1/2024.
- If you have specific questions on your Floating Legal Holidays or Leave Balances, please talk with your supervisor, review Kronos, and/or reach out to University Housing Payroll & Benefits at payroll@housing.wisc.edu.
Direct Deposit
- If you currently have direct deposit, and you will be terminating employment at the end of the semester, do not close your bank account BEFORE your last paycheck is direct deposited.

Year End Kronos Supervisor Approval Changes
- Kronos Supervisors, your approval deadline for the week ending December 23rd has moved to Tuesday, December 26th at 10am.
- Kronos Supervisor, your approval deadline for the week ending December 30th has moved to Tuesday, January 2nd at 10am.
Income Continuation Insurance
In the coming days, University Housing Payroll & Benefits team will be sending out 2024 Income Continuation Insurance (ICI) information to University Staff Employees regarding deferred enrollment opportunities and Sick Leave swaps to receive a lower ICI insurance premium in 2024. Please be on the lookout for this information and any action you may be eligible to take.
